Intellectual property (IP) resources are currently pooled at research universities awaiting active commercialization by their respective Technology Transfer Offices (TTO). Malaysian research universities must facilitate their researchers in the pre-commercialization phases by way of selected campus procurement processes. This study is part of a larger study aiming to automate a project management system that could enable the inclusion of IP in physical campus development during the product’s innovation process. It posits that a university’s management team that utilizes a project management process with automated monitoring mechanism could align with TTO facilitation in promoting successful collaboration for IP integration in a physical campus development during the product’s innovation process. The study uses a multiple-case study approach design on five research universities in Malaysia involving representatives from the University Development Office (UDO) and TTO. This paper covers the current physical campus development life cycle, the tracking system in managing a campus project, and effectiveness criteria in project organization on campus. The results of the case study propose an improved physical development process workflow and recommend potential IP integration confluences. The results lead to recommendations for critical components for developing an automated project management system which could support the current physical campus development process. The results are expected to contribute in supporting the strategies and initiatives for nurturing innovation ecosystem as per outlined in the Malaysia Education Blueprint 2015–2025. Future study will report the development of the proposed strategic automated project management system for integrating IP in campus procurement process.
