The principles of accountability, privacy by design, and privacy by default are central to GDPR-compliant personal data management. At Istat, a central role is played by the Personal Data Processing Activity Management System, which ensures constant updating and monitoring of data processing management. The current system has several critical issues regarding the growing need for integration of the privacy compliance cycle and more dynamic representation of processing. To meet the evolutionary challenges and strengthen compliance with the principles of transparency and accountability, an Integrated System for the Management of Personal Data Processing - Sin.Tra. - was designed to ensure the management of the lifecycle of processing with statistical purposes through its four macro-phases: design, planning, execution and closure. Each phase is supported by interoperable tools that enable continuous monitoring and integration with other information systems involved. A key element of the System is the “Data Processing Sheet” which allows information to be collected to identify the activities involved in the same statistical purpose allowing the process to be reconstructed by statistical work. Integration of advanced reporting and data analytics tools improves monitoring effectiveness and regulatory adherence, making the System a proactive data protection management model.
