Exploring Academic Conference Event Design Through Action Research

Academic conferences are key scholarly events where experts, scholars, and stakeholders gather to present, discuss research findings, and engage in intellectual exchange, with the aims of education, issue exploration, and achieving other significant objectives. These conferences not only cultivate high-level talents in public speaking and communication skills but also foster the establishment of professional networks that encourage knowledge sharing and learning. In recent years, the landscape of domestic academic conferences in Taiwan has become increasingly diverse, featuring a variety of themes and emerging trends. However, most of the conference organizing methods tend to exhibit high homogeneity, with a limited range of organizational approaches. Therefore, this research adopts a three-stage study to explore the optimal process for academic conference design from the perspectives of participants, organizers, and experts. In the first stage, “Preliminary Investigation and Analysis,” this research conducted in-depth interviews with recent conference participants from the past three years, focusing on their experiences and impressions. Using a customer journey map, a “Submitter Journey Map” was developed to collect key information on academic conference participation, as well as insights into the tools and systems provided for submissions. This process helped consolidate submitters’ expectations for academic conferences. In the second stage, “Mid-term Action Research Implementation,” this study participated in the organization of a prominent academic conference, assisting with the construction of the conference’s official website and managing its social media presence. After the event, a quantitative analysis of the website’s user experience was conducted to further understand participants’ feedback on the submission system. Additionally, in-depth interviews were held with stakeholders to gather feedback and insights into their past experiences with large international conferences, laying the groundwork for constructing an action research reflection and developing a preliminary framework for conference design execution. In the third stage, “Post-Event Expert Consultation,” three experts with extensive experience in organizing and participating in large-scale international conferences were interviewed. Their insights were used to refine the “Academic Conference Design Process” and strengthen the practical application of the “Guidelines for Conference Activity Design Execution.“ The findings of this research are divided into two major parts. The first part includes the “Submitter Journey Map” and “Guidelines for Academic Conference Participation,” which provide valuable reference material for prospective conference submitters, enabling them to grasp participation methods, procedures, and important considerations. The second part consists of the “Conference Design Execution Process,” “49 Guidelines for Conference Design,” and “Checklist for Conference Services,” which offer a comprehensive reference for conference organizers to ensure the successful execution of conference designs. Moreover, the research provides a “Conference Website Content Structure Checklist,” aimed at helping organizing teams build tailored submission systems that optimize the submission process and improve the overall user experience, enhancing operational efficiency for both submitters and organizers. It is hoped that the results of this research will inspire more diverse and distinctive conference designs through the application of event design thinking, maximizing the impact of academic conferences.
