Change management is particularly important in the hospital context, as healthcare organizations are constantly evolving and facing new challenges such as changes in regulations, technological advancements, and shifts in patient needs. Effective change management can help hospitals navigate these changes and ensure they continue to provide high-quality patient care. This study emphasizes the importance of effective change management in hospitals, especially when introducing new technologies. Key factors for successful change management include establishing clear Key Performance Indicators (KPIs), having a structured roadmap, ensuring effective communication, and gradually implementing changes. It also stresses aligning technology with hospital goals, considering the well-being of patients and staff, environmental factors, user involvement, and responsiveness. The present study is part of the activities of the ODIN project, funded by the European Commission (H2020, contract number 101017331), that aims to increase efficiency, productivity, and quality while reducing costs in hospitals by deploying these technologies to empower workers, enhance medical locations, and introduce autonomous and collaborative robots. The project's vision is to revolutionize hospital management with data-driven procedures enabled by Industry 4.0. A multifaceted approach is adopted, which includes a small literature review was conducted to understand change management models and an interactive workshop was held at the Hospital Clínico San Carlos (SERMAS, Madrid, Spain) with 15 participants from different countries to interact and understand the key elements to consider when developing the change management framework. The workshop was divided into two phases: 1) A combination of interactive exercises (3 canvases with key questions) to maintain the interest of the participants and 2) a group discussion. As a result, a comprehensive change management overview on several barriers and challenge is presented. This study presents a framework for overcoming change management by implementing relevant KPIs, offering insights and practical strategies in healthcare settings.
